Position Overview

This is a full-time role in our office in Brookings, SD. For this role, you’ll need to live a commutable distance from Brookings and be willing to work in our office at the Research Park at SDSU each week day. Typical hours for this role are 8am-5pm, Monday-Friday. At times, there is a need to work additional (overtime) hours during our busy season January - April. During slower months, we are able to offer some flexibility of hours and work location, including summer hours on Fridays (8am-12pm), between Memorial Day and Labor Day.

Purpose

The TruCount Office Coordinator serves as the gatekeeper for the firm, welcoming and hosting guests in the office, tracking administrative details, anticipating office needs, while allowing our accountants to focus on client work, helping deliver on revenue and profitability goals. While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week, based on business needs. The most important responsibility of the Office Coordinator is to ensure that administrative tasks and projects are completed with a high level of professionalism, including efficiency, confidentiality, accuracy, flexibility, and positivity in order to support firm initiatives and values.

Responsibilities

The Office Coordinator will have the following primary responsibilities:

  • Customer service, including making the first impression with clients
  • Document management - moving documents through the client service process, and scanning documents
  • Running routine local errands
  • Calendar management and scheduling for the team
  • Managing client-focused and TruCount internal projects TRUCOUNT CPA PC
  • Culture Keeper- this role plays a pivotal role fostering community internally and externally, coordinating internal team and client outings, along with attending community events
  • Meeting prep and facilitation, including documents, agendas, note-taking, and tracking action items
  • Varying professional administrative tasks, including, but not limited to, booking appointments, ordering gifts, overseeing routine marketing tasks, etc.
  • Customer intake communication processing website interest and leads from potential clients
  • Bookkeeping including processing firm client billing and execute on light collection activity (reminders)
  • This list is not all inclusive, as this role will require others duties as assigned

Proficiencies

  • Quality Communication: Must be an excellent written and oral communicator, including proficiency in English, with proper spelling and grammar. Recording a large amount of information, summarizing it, including tracking communication, and responsiveness, across multiple channels without losing details (in-person meetings, virtual video calls,Teams messages, text messages and/or emails).
  • High Level of Discretion: Regularly working with confidential information, discretion and sensitivity regarding financial information is a must.
  • Team Player: Working with all members of the firm, requiring an ability to collaborate and communicate well with team members, maintaining a can-do spirit without complaining, making excuses, or gossiping.
  • Proactive Coordination: As a part of our commitment to enabling our Accountants to serve our company and clients at the top of their game, our Coordinator will strive to anticipate needs and eliminate friction, staying ahead of the team, clearing the path for them to make their greatest contribution.
  • Affinity for Technology: Will be a technologically savvy PC user and will not be intimidated by learning new technology. Proficiency in the following tech platforms is ideal: Teams, Google Suite, Microsoft Office Suite.

Requirements

  • Education: 2-4 year degree preferred, not required
  • Experience: Minimum of 2 years supporting a professional office with routine office software and physical office management and communications experience
  • Physical: Ability to bend, reach, and lift boxes and office supplies up to 20 lbs
  • Background Check required due to handling sensitive information

Job Type: Full-time, salaried.

Compensation: $40,000 - $55,000/year (based on qualifications and experience), eligible for several associate benefits.
